fiscomatico, automation for accounting firms, is on the way

The new Systema360 product for accounting firms is called fiscomatico. It brings the firm’s email, PEC and WhatsApp together in a single panel, recognises the client when the data allow it and saves originals and attachments in the folders the firm already uses.

Staff only get what needs checking.

Three channels, one panel

It reads the firm’s email and PEC mailboxes and keeps the original message with its attachments, and for PEC also receipts and signed files. Clients’ messages arrive through WhatsApp’s official channel, with photos and documents, and the number and the account remain the firm’s.

Tax notices, compliance letters and F24 forms received by PEC or downloaded from the cassetto fiscale are filed by client, together with everything else.

The data stay at the firm

The panel runs on a computer installed at the firm, a dedicated mini PC or the NAS or server it already has. From there it reads the mail and saves documents in the firm’s folders.

From outside the office it can be reached through Systema360’s protected gateway, which passes the encrypted traffic without reading or storing it.

An AI that works at the firm

On request, an open source artificial intelligence model can be added on the firm’s computer, if it has enough memory and power. It reads texts and attachments there, without sending them to outside services.

For notices, letters and long messages it writes a short summary with the details that matter, such as VAT number, tax year and stated amounts. On doubtful cases it suggests client and folder and shows where it got them from, and nothing becomes final until a member of staff confirms.

Next to the management software

It does not replace the firm’s management software, it works alongside it. Client records come from the software the firm uses, through an export or through the connection provided by the vendor, and each connection is assessed together with the firm and the vendor.

Tailored, with ongoing support

Every installation is configured with Systema360 around mailboxes, archive folders and rules for recognising clients, and refined on real cases.

Systema360 updates the system and monitors how it runs, remotely. Monitoring covers the state of the computer, not the content of the messages, and every maintenance access is logged.
